Job Title: Medical Administrative Assistant

Job Summary

The Medical Administrative Assistant provides administrative and clerical support to healthcare providers, ensuring efficient day-to-day operations within a medical office or healthcare facility. This role is responsible for managing patient communications, scheduling appointments, maintaining records, and supporting clinical staff to deliver high-quality patient care.


Key Responsibilities

  • Greet and check in patients in a professional and courteous manner
  • Schedule, confirm, and manage patient appointments
  • Answer and manage incoming phone calls, emails, and other communications
  • Maintain accurate and up-to-date patient records in electronic medical record (EMR) systems
  • Verify patient insurance information and process billing or referrals as needed
  • Prepare and organize documentation for patient visits, procedures, and follow-ups
  • Assist with patient intake, including collecting medical history and required forms
  • Coordinate communication between patients, providers, and external healthcare partners
  • Ensure compliance with healthcare regulations, privacy laws (e.g., HIPAA), and office policies
  • Support general administrative tasks such as filing, faxing, and data entry

Qualifications & Skills

  • High school diploma or equivalent (associate degree or certification in medical administration preferred)
  • Previous administrative or healthcare experience preferred
  • Familiarity with medical terminology and healthcare processes
  • Proficiency in Microsoft Office and electronic medical record (EMR) systems
  • Strong organizational and multitasking skills
  • Excellent verbal and written communication skills
  • Attention to detail and accuracy
  • Ability to handle sensitive information with confidentiality
